Start with the work you need
Choose janitorial bidding software around the work you need to complete: turn a building's cleaning scope into a cost, turn that cost into a price, and give the customer a proposal they can understand. A polished document helps only when its quantities, schedule and price are correct.
Start with the part of your current process that causes errors or repeated work. If you already know the labor time and need a price, a calculator may be enough. If you regularly revise proposals, manage several sites or retrieve earlier versions, test how well a product handles those tasks before subscribing.
This guide provides a buying checklist and an original test case. It is not a ranked product review. Product examples below come from linked vendor documentation; we have not completed hands-on tests of CleanGuru or CleanlyRun.
Decide which part of bidding you need help with

Use this checklist during a demo or trial

A proposal PDF and a customer-data export solve different problems. The PDF preserves a document; a structured export may help you move records to another system. Ask to see an example of each feature you need.
Run one controlled pricing test
Use fictional client details and a draft that will not be sent to anyone. The following values are invented solely to test calculations. They are not recommended wages, production rates or US market prices.
Assume one routine office-cleaning visit needs three total cleaner-hours at an entered wage of $22 per hour. Add an illustrative labor-cost allowance equal to 20% of wages, plus the fixed amounts below. The allowance is a test input, not a statutory tax rate or a complete employment-cost estimate.
Then increase the labor time by 20%, to 3.6 cleaner-hours, while holding other assumptions constant.

The calculation is price = entered costs ÷ (1 − target margin). Thus, $98.20 ÷ 0.80 = $122.75.
If the higher costs occur but the price stays at $122.75, the estimated job margin falls to about 7.1%. This is why being able to edit labor assumptions matters. Any omitted expenses would reduce the result further; this example does not calculate the business's final net profit.
If a product produces a different total, inspect its margin/markup setting, cost allowances, rounding and service period before deciding the calculation is wrong. Use our margin-versus-markup guide to check the distinction.
Check the service period before comparing prices
A monthly number cannot be compared directly with a per-visit quote. Confirm whether the product uses actual scheduled visits, an average month or another convention. Then check how it treats an extra visit, an initial clean and work due quarterly.
Keep internal cost assumptions separate from the customer's agreed service scope. Use the bid-submission worksheet to check that the proposal also answers the buyer's requested documents, deadlines and submission requirements.
Read product documentation as a starting point
CleanGuru's bidding page describes cleaning-time calculations, room measurements, editable proposals and print/email output. Those descriptions suggest what to examine in a demonstration; they do not establish how the workflow performs with your building or which current plan includes every feature.
CleanlyRun's FAQ describes a seven-step proposal workflow and adjustable cost and profit inputs. It also says its application is designed for computers and tablets and does not operate properly on small smartphone screens. If you expect to enter measurements on a phone during a walkthrough, device support is a practical requirement to verify before choosing a product.
We reviewed these pages on September 10, 2026. We have not verified either product's save/reopen behavior, downloaded proposal or data export through a completed live test. A screenshot, sample proposal or feature description is useful evidence of what a vendor presents, but it is not proof that a task worked in our account.
Check the total commitment before starting a trial
Record the selected plan, trial end date, renewal amount, any required card, additional user fees and the cancellation method. Confirm whether cancelling ends access immediately or leaves the remaining trial available. Check whether the features shown in a trial remain available on the plan you intend to buy.
For example, CleanlyRun's published FAQ states that its 30-day trial requires a card and converts to $24.95 per month unless cancelled. Confirm the actual offer shown to you before registering. A trial being advertised does not establish that registration is available in every case.
Write down the result before choosing
For each product, keep a short record:
- Product, plan, date and device used.
- The specific task you need it to handle.
- What you completed yourself, with a saved example where available.
- What was shown only in a demo or described in documentation.
- What failed, was missing or requires a different plan.
- The ongoing cost and the way you will retrieve your work if you leave.
Choose based on the tasks you completed and the problems the product solved. If your current calculator and quote workflow already meets those needs, keep using it until a specific limitation gives you a reason to change.
